Amideast Virtual Testing Candidate Guidelines for TOEFL ITP tests

CANDIDATES WILL NEED THE FOLLOWING 

FURNITURE/EQUIPMENT 

  • Desk and chair.
  • Private room with restricted access.
  • Room preferably with door; if anyone enters, your results may be cancelled.
  • Headphones are NOT permitted.
  • Computer that meets minimum hardware requirements.
  • Mobile phone with Zoom installed.

All items except your computer, mouse/mousepad, ID, must be removed from your desk surface.

Plain paper is not allowed. However, whiteboards/paper in plastic sleeves is allowed. You may keep this on your desk with an erasable marker.

Zoom must to be installed on computer and your account must be set up as outlined in your confirmation email.

The ITP test launches from a secure browser, which must be installed prior to your test.

You must install the latest version of Edge.

Be sure to check the set-up for your phone. See furniture/equipment, above, for details. Also, charge your laptop and have your charger under your desk/within easy reach of your desk.

IMPORTANT NOTICES TO CANDIDATES ABOUT VIRTUAL TESTING PROCEDURES

IMPORTANT: PRIVACY INFORMATION

  • Testing will be conducted via Zoom. Audio and video will be recorded.
  • Candidate activity will be monitored by Zoom using your computer camera/webcam as well as via your phone, which must also have Zoom installed.
  • Your check-in will be private. You will be invited from the main meeting “room” to a private breakout room, where the proctor will check you in.
  • Your check-in will be recorded, but it will not be visible to other candidates.
    • You will show the proctor the room in which you are testing, to verify that no one else is present and no prohibited are visible.
    • The proctor will ask you to show your ID to him/her to verify your identity.

IMPORTANT: Do not share any personal information until you have been invited to the private breakout room by the proctor.

VIOLATIONS RESULTING IN SCORE CANCELLATION

  • CANDIDATE RECORDING OF TEST ADMINISTRATION. All recording software recording is strictly prohibited for any reason. This is considered misconduct, and will result in immediate tests suspension, reporting to your institution, and may be referred to ETS Global and/or law enforcement.
  • OFF-CAMERA ACTIVITY/BREAK. Due to the lack of ability to monitor activities off-camera, no breaks are allowed. If a candidate leaves his/her desk and goes outside of the view of the camera, the test results will be cancelled. Test fees will not be refunded.
  • OTHERS IN THE ROOM. If others enter/are detected in the room, your test results may be cancelled. Test fees will not be refunded. It is strongly recommended that candidates clearly post signs that say “Testing in Progress/ Do Not Disturb”.
  • LATE CANDIDATES WILL NOT BE ADMITTED. We are unable to accommodate candidates who arrive late. Test fees will not be refunded.
  • ANSWERING YOUR PHONE DURING THE ADMINISTRATION. Candidates must put their phones on DO NOT DISTURB prior to the administration. You may not answer your phone or read/respond to messages during the administration.
  • Failure to heed proctor warnings for any activity covered above.

IMPORTANT: AGREEMENT TO TEST-TAKER GUIDELINES (THIS DOCUMENT) REQUIRED TO TEST

  • During check-in, the proctor will verify that you have read and agree to the Amideast REMOTE MONITORING/VIRTUAL TESTING PROCEDURES Test Taker Guidelines.
  • You will be required to say “I agree” in order to continue.

CANDIDATE CHECKLIST – DAY BEFORE TEST

  • Desk area - meets requirement?
  • Prepare any “do not disturb” signs to be posted on test day. This is important – people entering the test area may result in score cancellation.
  • Practice opening/using Zoom.
  • Check your set-up – are your keyboard, hands and face visible from your phone? Your computer screen should not be visible.
  • Run a system check.
  • If you need help, email your administrator/proctor at least 24 hours before your exam.
  • If you are not ready for your test due to lack of preparation, you will not be allowed to test, and your fees will not be refunded.
  • Review the ITP Test Taker Handbook, including the ID policy.
  • You will be required to agree to the terms outlined in the ITP Test Taker Handbook in order to take your test; read them carefully.

WHAT TO EXPECT ON TEST DAY

ZOOM LOGIN ON TEST DAY

  • Before beginning, use the restroom. IMPORTANT: once you complete check-in you will NOT BE ALLOWED TO LEAVE YOUR DESK FOR ANY REASON.
  • If you LEAVE YOUR DESK FOR ANY REASON, WE WILL BE UNABLE TO REPORT YOUR TEST RESULTS.
  • Close everything except Zoom.
  • Using Zoom meeting details provided via email login at 30 minutes prior to your test time on both your computer and your mobile phone.
  • You will automatically enter in “meeting” mode.
  • Enable audio & video on your computer; phone will be video only.
  • Follow the instructions provided by your proctor.

ITEMS ALLOWED ON YOUR DESK

  • Your ID
  • Computer, keyboard, mouse, mousepad – must all be shown to the proctor
  • Whiteboard/paper in plastic sleeve; erasable marker; eraser. No plain paper allowed.
  • Headphones are not allowed for the ITP test; you will need to use your computer audio.
  • No Bluetooth devices of any kind are permitted; we will check for Bluetooth devices.
  • Nothing else is allowed on the desk.

CHECK-IN PROCESS

  • Check-in will take place in a separate “room” in Zoom; do not share any private information until you have been moved to the private check-in room; at this point, the only people in the room should be you (with 2 devices), and the proctor.
  • Scheduled tests can only be launched once check-in is fully completed.
  • Be sure you are ready to test – breaks are not allowed and taking one may result in cancellation of your test results.
  • All computer programs except Zoom must be closed.
  • Using the Zoom function on your phone, we will check:
    • Your room/surroundings.
      • The proctor may ask you to move around to show your surroundings from various angles.
      • Your desk, computer, keyboard, mouse and mousepad.
    • Your ID
    • Reminder: candidates are not allowed under any circumstances to record any aspect of the test session, or any test content.
  • Disclaimer: the proctor will verify that you have read, understand and agree to the Procedures. You will also be asked to verify that you have completed the necessary technical checks/successfully run your system check.
  • Once check-in is complete, the proctor will provide you with the Session you will need to launch your test.

WHAT TO EXPECT DURING YOUR TEST ADMINISTRATION

  • Your proctor will monitor you through your administration. Following Check-In, you will automatically be moved to back to the main testing room where other test-takers will also be testing.
  • You will be muted; communication will be via chat only.
  • If you have a question, you may ask the proctor via the Chat (Private Chat) feature, to avoid disturbing other candidates.
  • At all times, you are required to comply with proctor instructions, including immediately sharing your screen if requested.
  • Other irregularities will be managed at the discretion of the proctor. All irregularities will be recorded and reported to ETS.

ENDING YOUR TEST

  • At the end of your exam, your secure browser will close.
  • Wait for instructions; your proctor will have you erase your whiteboard/paper in plastic sleeve before dismissing you.
  • Your proctor will dismiss you when your test is complete.

SCORE REPORTING

  • Your score will display at the end of your test.

Generally, scores will be reported directly to the institution through which candidates are testing.
